The contact form is initially delivered to EasyAd by email so that our team can review and respond to your enquiry.

When an enquiry becomes a potential business opportunity
When an enquiry is relevant to a potential customer relationship, an authorised member of the EasyAd team may manually add relevant information to HubSpot, our customer relationship management system.
The information stored in HubSpot may include:
- Your name and business contact details
- Your company and role
- The source and subject of the enquiry
- Relevant correspondence
- Notes from meetings or demonstrations
- The services or solutions discussed
- The status of the potential business relationship
- Agreed follow-up activities
We only add information that is relevant to managing the business conversation.

HubSpot
We use HubSpot to manage relevant business contacts and potential customer relationships.
HubSpot may process personal data as a service provider to EasyAd. HubSpot operates data-hosting infrastructure in several regions, including the European Union, the United States, Canada and Australia. The location used for our account depends on our HubSpot configuration.
Our HubSpot account is hosted in: European Union (Germany).
HubSpot provides a data-processing agreement that addresses its processing of customer personal data and applicable international-transfer mechanisms.
Hotjar
We use Hotjar only after you consent to statistics cookies.
Hotjar processes website interaction data on our behalf to help us understand how visitors use the website. Hotjar states that the user and usage data collected through its service is stored in Ireland, although authorised service providers may process information in other locations.
We do not use Hotjar to:
- Advertise to you
- Follow you across unrelated websites
- Add you to HubSpot
- Identify contact-form leads
- Collect payment information
How long we retain information
We retain personal data only for as long as it is needed for the purposes described in this notice.
Ordinary contact enquiries
Enquiries that do not develop into an ongoing business relationship are normally deleted from active email systems within 24 months of the last meaningful contact.
Potential customer relationships
Where an enquiry develops into a potential customer relationship, relevant information may be retained in HubSpot for up to 24 months after the last meaningful interaction.
A meaningful interaction may include:
- An email or telephone conversation
- A meeting or demonstration
- A response from you
- A proposal or active commercial discussion
Customer relationships
If the enquiry develops into a customer relationship, information may be retained for the duration of the relationship and afterwards where necessary to meet contractual, accounting, legal or documentation requirements.
Hotjar
Hotjar information is retained according to the retention settings configured in our account.
Our current Hotjar retention period is: 12 months.
Technical logs
Technical and security logs are normally retained for [period], unless they are required for longer to investigate a security incident or protect legal rights.
Cookie-consent records
Cookie-consent information is retained for as long as necessary to remember your choices and demonstrate that valid consent was collected.
